User Manual & Tutorial

1. Dashboard & Insights

The moment you open the app, you land on the Dashboard. This is your command center.

  • Metric Cards: View your “Total Stock Value”, total active items, and quick financial metrics.
  • Alerts Panel: The dashboard scans your entire inventory and will actively flag items that are Expired or Low in Stock.
  • Navigation Sidebar: Found on the left, use this to switch between Inventory, Billing, Suppliers, and Settings.

2. Adding & Managing Inventory (Stock)

Click on the Inventory tab to manage your clinic’s medicines.

  • Adding Stock: Use the Stock Entry form on the right side.
    • First, select the category (Dilutions, Patents, Mother Tinctures, etc.) using the folder tabs at the top.
    • Start typing the remedy name; the app will eagerly suggest correct spellings based on a built-in homoeopathic dictionary.
    • Pro-Tip: Values like Brand (e.g., SBL, Dr. Reckeweg) and Location are global. If you type them once, they will magically persist even if you switch tabs to enter a different category!
  • Editing & Deleting: Hover over any item card in the central inventory list. Click the Edit (Pencil) icon to update quantities, update expiry dates, or alter prices.

3. The Billing System & Invoicing

Switch to the Billing tab to create patient invoices or print receipts.

  • Invoice Builder: On the left, specify the patient’s name and contact number.
  • Adding Medicines: Use the Item Search bar. As you type, the system will look up items from your inventory and automatically pull their price and GST rate. Once added, the inventory count drops automatically.
  • Non-Inventory Items: Need to charge a “Consultation Fee” or “Shipping Charge”? Tap the ⊕ Non-Inv Item button to add flat-rate services without affecting your medicine stock.
  • Checkout & Print: Once the bill is ready, apply any discounts. Click Finalize Bill. You can seamlessly send the receipt to a Thermal Printer via the built-in printer dialog!

4. Supplier & Purchase Management

Keep track of who you are buying medicine from in the Suppliers tab.

  • Add a Supplier: Register your vendor details (Name, GST no, Contact).
  • Log Bills: When you receive a shipment, register the “Bill / Purchase Order”. You can mark it as PendingPartial Supply, or Fulfilled.
  • This ensures you maintain a clean audit trail of your inward purchases and vendor ledger.

5. Settings & Configuration

The Settings area allows you to customize the software to your specific clinic requirements.

  • Clinic Details: Enter your Clinic Name, Address, and Phone Number. This data is printed identically on the header of all your patient bills.
  • Thermal Printing: Customize if you want the patient’s phone number to appear on bills or tweak bill titles.
  • Manage Non-Inventory: Pre-save frequently used services. For example, add “Initial Consultation Fee – ₹500” here so you can add it to any bill with just one click.
  • Backup & Restore: Configure automatic daily backups or manually download a .zip copy of your entire database for safekeeping.

6. Universal Search & Quick Tips

  • Search Anything: The search bar at the very top of the window is universal. Type a medicine name, a patient’s name, or an invoice number (e.g., “INV-1024”). Press Enter to instantly jump to that exact record.
  • Automated Expiry Checks: When doing billing or stock entry, expired items are dynamically highlighted in red to prevent accidental dispensing.
  • Moving PCs: You can export your app and its backup files to a ZIP using the backup tool to run the system exactly where you left off on another Windows or Mac computer!
